Draftera AI Foundations Engagement
Practical AI workflows, built with your staff in two to three weeks.
A fixed-fee engagement that helps nonprofits and social enterprises reduce the time spent on one or two recurring tasks, with clear safeguards and measured results.
We choose the task together. I build the workflow alongside the people who do the work, train them to use it and report on the time it saves. You see results on your own work before deciding whether to go further.

The engagement is led by Ken Hopkins, founder of Draftera. About Ken →
01
The work that crowds out the mission
Every nonprofit and social enterprise has a handful of tasks that recur each month or quarter and quietly consume days of skilled staff time. Think of the funder report assembled from scattered notes, the board package pulled together the night before, the intake forms retyped into a spreadsheet, the thank-you letters written one at a time.
AI tools can take on much of the first-draft work in tasks like these, and many of your staff are probably already trying. What is often missing is a consistent process, agreed steps, clear rules about information use, staff training and a way to measure whether the approach saves time. The Foundations Engagement supplies that structure for one or two tasks, so the organization gains a reliable way of working rather than a scattering of personal experiments.
02
Who it is for
The engagement suits nonprofits, charities, social enterprises and associations, typically with annual revenue between about $1 million and $20 million, in situations like these.
- Staff already use AI tools, but informally and unevenly, and leadership would like a shared approach.
- One or two recurring tasks take up hours every week or month, and the people doing them would welcome help.
- Leadership wants results it can show the board and funders, rather than another strategy document.
- There is no dedicated technology team, so any new way of working has to be simple enough for program and administrative staff to own.
03
What the fee includes
Task selection
I review where your team’s time goes, and together we agree on the one or two tasks that offer the best return with the least risk.
One or two working workflows
Built around tasks your team already does, using tools you already have wherever possible, and tested on real work before handover.
Staff training
Everyone who uses a workflow learns how it works, where it needs checking and how to adjust it.
Plain-language guardrails
A short written document that sets out what staff may use AI for, what information stays out of AI tools, and who reviews the output.
A time-saved report
Comparing the hours each task took before and after, with an estimate of what that time is worth.
04
How the two to three weeks run
Week 1
Choose the task.
I meet the people who do the work, map how the task runs today and record how long it takes, so there is an honest baseline to measure against. By the end of the week we have agreed on the task, the tools and the information the workflow may use.
Week 2
Build and test.
I build the workflow alongside your staff and test it on real examples of their work, adjusting it until the drafts are good enough to be worth reviewing rather than rewriting.
Week 3
Train and measure.
Your staff learn to use the workflow with confidence, the guardrails are agreed and circulated, and I measure the time the task now takes and deliver the time-saved report.
Engagements involving two workflows or limited staff availability typically take the full three weeks.
05
Typical workflows I build
Every organization is different, but these four tasks are common starting points because they recur, follow a pattern and take real time.
Funder and board reporting
Turning program notes, data and past reports into a structured first draft that staff then check and finish.
Program intake
Organizing information from intake forms, emails or calls into a consistent record and a summary for the person who follows up.
Meeting notes to actions
Converting notes or transcripts into a clear summary with decisions, owners and deadlines, ready to circulate.
Donor acknowledgements
Drafting personal, accurate thank-you letters from gift records, for staff to review and sign.
If the task that costs your team the most time is not on this list, that is often the right place to start. We will discuss it in the Introductory Conversation.
06
An example of where to start
Illustrative example
Each quarter, a program manager spends two days pulling notes together into a funder report. A workflow built during the Foundations Engagement could turn those notes into a first draft, so the manager’s time goes into reviewing and refining the report rather than starting from a blank page.
07
What you will have at the end
When the engagement closes, the new way of working belongs to your organization, and it keeps running without me.
- Working workflows that your staff use on real tasks, with written instructions they can follow and adjust.
- Trained staff who know how to use each workflow, when to trust its output and when to question it.
- Guardrails in writing that leadership can share with staff and the board, setting out what AI may and may not be used for.
- A time-saved report with before-and-after hours and an estimate of their value, which you can take to your board or funders.
08
Your data stays protected
Client, donor and staff personal information never goes into outside AI tools without your written agreement. For each workflow, we decide together what information it may use, and that decision is written into your guardrails.
09
Fixed fee
You will know the fixed price before any work begins.
| Foundations Engagement | Regular price | Founding-client price |
|---|---|---|
| One workflow | $2,500 CAD | $1,250 CAD |
| Two workflows | $4,000 CAD | $2,000 CAD |
The founding-client price is available to our first two clients and ends on December 31, 2026, or sooner if both places are filled. In return, you agree to a short case study on the results, which you approve before anything is published.
Prices are in Canadian dollars, plus applicable taxes. Any new AI tool licences are paid directly by your organization.
If you sign up for Core or Plus in the Draftera Embedded AI Partnership within 30 days of finishing the engagement, the full fee you paid is credited toward your Partnership fees, starting with your first month. Any amount above the first month’s fee is applied to the months that follow.
10
Common questions
How do you handle our data and privacy?
Personal information about clients, donors and staff never goes into outside AI tools without your written agreement. Before I build anything, we agree on which information each workflow may use, and many workflows can be built on anonymized or non-personal material. Those decisions are recorded in your guardrails so staff know where the lines are.
Which AI tools do you use?
I am tool-neutral. Wherever possible I build on tools your organization already has, such as Microsoft 365, Google Workspace or an existing AI subscription. If a different tool would clearly serve you better, I explain why and what it would cost, and the decision is yours. Any new licences are paid for directly by your organization, and nonprofit discounts usually apply.
How much staff time does it take?
Most of the staff involvement comes from the people who perform the selected task. That means a working session in week 1 to walk through how it runs today, time in week 2 to test drafts on real work, and a training session in week 3. That is typically 2–4 hours for each staff member involved. Leadership is involved at the start to agree on the task and at the end to review the report.
What if the workflow doesn’t save time?
Then the time-saved report will say so plainly, along with what we learned and what I would recommend instead. I measure against a baseline taken in week 1 precisely so the result is honest, and you are under no obligation to continue.
How do we choose the task?
We start in the Introductory Conversation and confirm it in week 1. The best first task recurs often, follows a predictable pattern, takes meaningful time and carries little risk if a draft needs correcting.
What happens after the engagement?
The workflows are yours to keep and run. Some organizations stop there; others continue with the Draftera Embedded AI Partnership for ongoing support, in which case the 30-day fee credit applies.
Can we do another project later without the Partnership?
Yes. If you would like another one or two workflows built later, I can run a further engagement on the same fixed-fee basis. For organizations that expect to keep building, the Draftera Embedded AI Partnership is usually the better choice, because it keeps the work moving month to month, with training, maintenance and reporting included rather than arranged project by project.
The first step is a conversation
In 30 minutes we can look at where your team’s time goes and whether the Foundations Engagement is the right fit. You will leave with at least one idea you can use, whether or not we work together.
