Draftera Embedded AI Partnership
An ongoing partner for AI and operations.
I work directly with your team to build and improve AI workflows, support your staff and address the operational challenges connected to the work. Together, we agree on priorities and a clear scope of work each month.

01
Why ongoing support matters
A single workflow shows what is possible, but lasting value depends on what happens next. Priorities shift, teams change and the tools keep improving, so the work needs someone who knows your organization to keep it moving.
Few nonprofits or social enterprises can justify a full-time AI or operations lead. The Partnership provides that continuity for a predictable monthly fee, combining implementation, adoption, maintenance and operational advice.
02
What is included each month
Both plans include the following areas of support. Each month, we focus on the priorities agreed with your organization.
Implementation
I build new workflows and process improvements based on our agreed priorities, starting with the tasks that take the most staff time.
Adoption
I work with the staff who use each workflow, train new team members and run refreshers, so the tools become part of how the work is done.
Maintenance
I keep workflows and your AI guidelines up to date as tools, risks and your own practices change, and retire workflows that no longer provide value.
Operational advice
I help you work through staffing, process and organizational change questions, and decide which improvements to prioritize.
Reporting
I measure the time saved and its estimated value, and report both in a form you can share with your board.
03
Two levels of support
Both levels include everything above, and the difference lies in how much can be in progress at once. The time estimates indicate the typical level of support. We agree on deliverables and priorities each month.
| Core | Plus | |
|---|---|---|
| Monthly fee | $2,500 CAD/month | $4,500 CAD/month |
| Scope | One active priority at a time, with staff support and a monthly review | Up to two active priorities at once, across teams, with more time to support staff and leadership |
| Typical time, as a guide | About 2 days a month | About 1 day a week |
| Minimum term | Three months, then month to month | Three months, then month to month |
| Suited to | Organizations that want to keep building steadily, often after the Draftera AI Foundations Engagement | Organizations with several teams, or with a larger change already underway |
| Monthly review, training and guardrails | Included | Included |
| Quarterly impact report for leadership and the board | Included | Included |
If you sign up for Core or Plus within 30 days of finishing the Foundations Engagement, the full fee you paid is credited toward your Partnership fees, starting with your first month.
04
How a typical month works
The Partnership follows a consistent monthly rhythm, so your team always knows what is happening and what comes next.
- Review.We look at what has been built, how staff are using it and the time it has saved, and agree on the month's priorities.
- Build.I design and build new workflows, or improve existing ones, based on those priorities.
- Train.I work with the staff who will use each workflow, so it becomes part of how they already work.
- Report.I summarize progress for your executive director, and each quarter prepare a report for leadership and the board.
05
Your first three months
This is an illustrative example, and the actual priorities are agreed with you.
- Month 1. Establish the first improvement.We agree on priorities, and the first workflow or process improvement is built and in use.
- Month 2. Refine and extend.We refine how staff are using it, address anything getting in the way of adoption and start on the next priority.
- Month 3. Review and plan.We review the results against the starting point, report to leadership and the board, and agree on priorities for the next quarter.
06
Have an operational challenge that goes beyond AI?
If your organization needs help improving processes, implementing change or supporting a stretched leadership team, let's discuss what would be useful.
Operational support can form part of your monthly Partnership or be scoped as a separate fixed-fee project. In either case, we agree on clear priorities and deliverables.
Simplifying a process
Mapping a process that has grown complicated, such as intake, scheduling or month-end reporting, and agreeing on a simpler way to run it.
Seeing a change through
Planning an organizational restructuring, program launch or system implementation, and helping staff understand what is changing and why.
Roles and structure
Reviewing roles and reporting lines when a team has outgrown the way it is organized.
Support for a stretched leadership team
Experienced support with workforce planning, board reporting or a complex staffing issue.
07
Accountable for results
My involvement continues well beyond implementation. Each month, we review what has been built, how staff are using it and the time it has saved, refining what works and retiring what does not.
What leadership and the board receive
Every quarter, you receive a short impact report written for a board audience. It sets out the following.
- the workflows in use and the teams using them;
- the time saved and its estimated value, and how both were measured;
- any changes to your AI guardrails, and why;
- the priorities proposed for the next quarter.
The report gives your board a clear, measured account of what the investment is returning, and gives you a straightforward basis for deciding whether to continue.
08
Terms
Minimum term
Three months, which allows enough time to build, train and measure properly.
After that
Month to month. You can continue, change direction or stop.
Foundations credit
If you sign up within 30 days of finishing the Draftera AI Foundations Engagement, the full fee you paid is credited toward your Partnership fees, starting with your first month. Any amount above the first month’s fee is applied to the months that follow. The credit cannot be refunded.

09
Who the Partnership is for
The Partnership is designed for nonprofits, charities, social enterprises and associations, typically with annual revenue of about $1 million to $20 million, that
- have seen what a working AI workflow can do, often through the Foundations Engagement, and want to extend it across the organization;
- do not have, or cannot yet justify, a full-time staff member responsible for AI and operations;
- want results they can measure and report to their board, rather than general experimentation;
- are managing growth, restructuring or other change and want steady operational support alongside it.
If you have not yet started with AI, the Draftera AI Foundations Engagement is usually the better first step.
10
Common questions
Do we need to complete the Foundations Engagement first?
It is the usual starting point, because it gives us working workflows and a measured baseline to build on. If your organization already has AI work underway, we can discuss starting directly with the Partnership in the Introductory Conversation.
Which AI tools do you use?
I am tool-neutral. I work with the tools your organization already has where they are suitable, and recommend others only when there is a clear reason.
How do you handle our data?
Client, donor and staff personal information never goes into outside AI tools without your written agreement. Your guardrails set out what can be used, where and by whom.
Is the work done on site?
Usually not. I am based in Newfoundland and Labrador, working with nonprofits across Canada, and the work happens remotely through video calls and your existing systems.
Can we move between Core and Plus?
Yes. If your needs change, we can adjust the level with 30 days' notice.
What happens after the first three months?
The Partnership continues month to month. Each quarterly report includes proposed priorities, which gives you a natural point to decide whether to continue, adjust the level or stop.
The work is delivered by Ken Hopkins, a former nonprofit executive director with more than two decades of experience leading organizations. Read more about Ken
The first step is a conversation
Whether you are considering the Partnership now or after the Foundations Engagement, we begin by looking at your organization and where your team's time goes. You will leave with at least one idea you can use.
